Booking privacy information

Thorpe Woodlands Adventure Centre Trust uses your booking and contact details to arrange your activity, take payment, provide visitor information and respond to requests. The lawful basis for these booking services is performance of the booking contract. We retain participation and acceptance records for safety administration and the legitimate interests of maintaining evidence and handling enquiries or claims.

Acceptance records include participant and signer names, under-18 status, the signer’s role/authority, contact details, the wording accepted, signature, date/time and IP address. An IP address supports the record but is not proof of identity. Please do not submit medical details online; discuss relevant conditions privately with your instructor.

Authorised staff can access booking and participation information relevant to their work. Instructors can see the session calendar and participant status. Administrative access to signed records is restricted. Payment card details are entered on Stripe’s secure checkout and are not stored in this website’s database. Our hosting and email providers process data to deliver these services.

We keep records only as long as needed for booking administration, applicable record-keeping obligations and handling legal claims. Retention takes account of children’s records and insurer requirements. Contact us for the applicable retention period or to exercise your data protection rights, including access, correction and, where applicable, deletion or objection. Some records may need to be retained for legal reasons.
